    The CONTROL Phase is the most neglected but critical phase to ensure action / solution put in placed are permanent and yield expected results. It cannot be over emphasized the importance of CONTROL. They are some basic tools used in this phase, namely:-

    Trend Charting | Control Chart | Documentation | Audit | On-job training | Re-certification

    In this issue, I will deal with the above tools in bold Documentation and Audit. In many cases, team member monitor and track the improvement result. At times, when the result is not forth coming, they would wonder what had happened. To avoid these surprises, the team has to do some reinforcement steps illustrated below:-

    Documentation Once a new solution to the improvement project is established and tested, its result has to be sustainable. You may have done some briefing to the shop floor employee or a machine operator about the new work procedure derived from your solution. You may even do something extra to retrain the shop floor employee or a machine operator on the new solutions.

    There are several approaches you may take to deal with Documentation of the new solution. In order to value added to this process, a proper documentation format shall be design in compliance to the existing document in the organization.

    If your organization is ISO 9001 certified, the documentation has to comply with your ISO documentation procedure.

    Audit Audit is a tool for the team members to validate all new procedures, work method or corrective action to ensure they are continuously adhered with. There are several Audit tools available in the D.A.I.C. Improvement Methodology. You should select a suitable tool for the purpose and assign a team member to perform the audit. Your team member shall not be directly worked in the department that you plan to audit. However, if your organization is ISO certified, then the tools use to audit shall complied with your ISO9001 Quality Management System.

    In summary, Documentation and Audit are simple to use tools and it is an handy tool to monitor the performance of the correction action or solution. The frequency of the audit shall be determined by your team and shall test for its effectiveness.
